Position Description:

Position Description:

We are seeking an experienced Corporate Paralegal to support the Firm’s growing and dynamic practice. This individual will be engaged with corporate governance and mergers and acquisitions support, SEC and EDGAR filings, resolution drafting, and general paralegal and administrative needs within the legal department. Job Description:

Fox Swibel is looking for a full-time Legal Secretary with a minimum of 3 years’ experience in general litigation. Strong knowledge of Microsoft Office 2010 is required. Knowledge of Juris and iManage is a plus. Candidates should be highly organized and proactive, with excellent decision-making and problem-solving skills. Litigation / Backup Legal Secretary

Job Description:

Fox Swibel is looking for a full-time Legal Secretary with a minimum of 5 years’ experience in general litigation. This position will support litigation attorneys and will provide support to other legal secretaries whenever necessary to meet Firm and client needs. Successful candidates will have a positive attitude, a professional appearance, and a willingness to work in tandem and help support other secretaries as needed. Candidates should be highly organized and proactive, with excellent decision-making and problem-solving skills. Daily tasks will include organizing and maintaining files, maintaining attorneys’ schedules, preparation of correspondence and legal documents, e-filings, time entry, and preparation of monthly billing, up to and including PowerPoint presentations, preparing and proofreading attorney and the firm’s collateral materials.

Knowledge, Skills, Abilities:

  • Proficient in full suite of Microsoft Word applications, Outlook, Illinois File and Serve and iManage; moderate knowledge in BigHand (document workflow) solutions and time entry and billing editing is a major plus.
  • Manage and organize documents in document management systems (iManage), electronic research tools and/or basic database skills.
  • Manage projects independently while maintaining effective communication with attorney assignments regarding progress of projects and deadlines.
  • Detail-oriented, flexible, able to multi-task and meet deadlines.
  • Ability to maintain a high level of confidentiality.
  • Excellent written and oral communication skills.

Education/Experience:

  • High school diploma or equivalent
  • Minimum 5 years’ legal secretary and/or similar support experience

Administrative Assistant

Position Description:

Leading business law firm in the Chicago Loop, conveniently located at Wash/Wells “L”, is seeking an assistant to become an integral part of its administrative team. This is a new position to the firm and will support the Director of Administration and the Manager of Human Resources. As such, responsibilities are wide-ranging, all with equal importance, and congruent with the firm’s annual administrative initiatives. Candidates must be comfortable with executing on tasks varying in complexity while exercising sound judgment and discretion.

Ideal candidates will be: dedicated to delivering consistent superior client service, meticulous about their work product, highly motivated, a demonstrated self-starter who values building strong effective work-relationships, is adaptable and aspires to grow professionally. Responsibilities:

  • Coordinate backup assistance for staff and legal support absences; track and reconcile attendance; maintain current lists of firm personnel and personnel statistics.
  • Coordinate tasks for administrative clerks and receptionist when needed for conference room meetings and events.
  • Create, edit and proof confidential documents with attention to detail and within the communicated timeframe for HR functions and administrative projects.
  • Schedule meetings and preparing materials for meetings and presentations.
  • Manage projects independently while maintaining effective communication with supervisors regarding progress of projects and deadlines.
  • Detail-oriented, flexible, able to multi-task and meet deadlines.
  • Uphold a high level of discretion

Education/Experience:

  • High school diploma or equivalent
  • Minimum 5 years’ experience providing administrative support in a legal and/or professional services environment.
